# How should I organize my manuals? — DocFind Last reviewed: September 25, 2026. HTML version: https://docfindapp.com/answers/organize-manuals **Keep every manual as a PDF in one folder, name each file after the appliance and its model number, and plan for the day you need to search inside them rather than by name.** That is our advice, not a rule from anyone's help page; the reasoning follows, with the phone steps from Apple's and Google's own guides where they apply. ## Paper first: scan it once, keep the PDF

A paper manual lives in a drawer in one house. A PDF lives on the phone that is in your hand when the boiler starts blinking. If the manufacturer publishes the manual, download that copy instead of scanning — it will usually carry real text, which matters later. ## One folder, not several

On iPhone, Apple's Files guide covers the basics: open a location, tap the More button, "then tap New Folder"; to move files in, "Touch and hold the file or folder, then choose an option: Copy, Move, Compress, Duplicate, or Delete" ([*Organize files and folders in Files on iPhone*](https://support.apple.com/guide/iphone/organize-files-and-folders-iphab82e0798/ios), read 25 September 2026). Apple also lets you favourite a folder: "touch and hold the folder, then tap Favorite", which puts it on the Browse screen. For a folder you open twice a year in a hurry, that is worth doing.

On Android, Files by Google groups files under **Categories** and can sort a list "by File name, Date, or Size" ([*View your files*](https://support.google.com/files/answer/9765314?hl=en), read 25 September 2026). That page does not cover creating folders, so we will not describe a path for it here.

## Name the file for the day something breaks

Downloaded manuals arrive with names like `OM_2019_EN.pdf`. Rename each one to something like `Dishwasher - - manual.pdf`: the appliance first, because that is what you will be thinking of, and the model number, because it is what support lines ask for. On iPhone, Apple's step is "Touch and hold the file or folder, then choose Rename" (the *Organize files and folders* page above).

## Tags for what cuts across rooms

Some groupings do not fit a folder: everything still under warranty, everything in the kitchen. The iPhone Files app has tags for that — "Touch and hold the file or folder, tap Tags, then tap one or more tags", and later "To find tagged items, tap Browse, then tap an item below Tags" (same Apple page). Keep receipts next to the manual they belong to; in our experience a warranty claim tends to need both.

## What names and folders cannot do

The Files search field works from names: Apple's instruction is to "Enter a filename, folder name, or document type in the search field" ([*Find and view files and folders in Files on iPhone*](https://support.apple.com/guide/iphone/find-and-view-files-and-folders-iphe4bff8827/ios), read 25 September 2026). The moment you need a manual most is when a display shows a code such as *E24*. That code is printed on a troubleshooting page deep inside one PDF and appears in no file name, however carefully you named them.
